What is Telehealth?

Telehealth is a progressive and dynamic method of delivering behavioral health and therapy services using interactive online HIPAA compliant video conferencing software when the member and the behavioral health provider are not in the same physical location.
Through audio and video over the internet, you can meet with your counselor/therapist on-the-go from your desktop, laptop, tablet, or mobile device (iOS Download or Android Download)- it's your choice!

Telehealth allows our skilled clinical therapist and counselors to connect with you anywhere with secure and convenient appointments that provide convenience and comfort. There's no need to deal with traffic when you can attend your appointments directly from a laptop or mobile device. The choice of where you connect from is yours!


What are the benefits of telehealth services?

Through telehealth, you can have real‐time, two‐way communication via secure online virtual sessions. You can schedule your sessions at a place and time that fits best into your schedule in a comfortable environment

What equipment do I need?

A Telehealth appointment can be completed from your home, office, or on-the-go, with a device you most likely already have:

  • Desktop/Laptop computer with speakers, a webcam, and/or microphone OR
  • Smartphone/Tablet/iPad with built-in camera and speakers (most devices come with headphones that feature a built-in microphone) OR
  • You also need an internet connection/cellular data that is at least 1Mbps fast. For the best quality of service we recommend an internet connection or stable 4G cellular service.
  • Use this article to test your device and connection before the day of your session(This will take you to GoToMeeting's official website)

Completing the session:

Using a desktop/laptop computer

If you plan to use a desktop or laptop, there is nothing to download prior to your appointment. Here are the steps to join your telehealth therapy session:

  • At least 10 minutes before your appointment, you'll receive a text or email appointment reminder.
  • Click the link from the reminder.You may have to copy and paste the link into your web browser if clicking the link does not work.
  • You will see a Get Started Screen where you can type your name and preview your microphone and/or camera and test your speakers volume.
  • When you are ready, follow the prompts and your session will begin shortly.

Tip: GoToMeeting recommends using the Google Chrome browser.

Note: Sometimes there may be a slight delay for your therapist to join your appointment if they are finishing with a previous client. Please be patient, and they will join as quickly as they can.


Using a Smartphone/Tablet/iPad

If you plan on using a mobile device, here is how you'll join your telehealth therapy session:

  • Download GoToMeeting from the app store of your device. (iOS Download / Android Download)
  • At least 10 minutes before your appointment, you'll receive a text or email appointment reminder.
  • Click the link from the reminder. This will open the GoToMeeting app.
  • You will be instantly launched into your telehealth therapy session

  • Android Device Step-by-Step Guide (This will take you to GoToMeeting's official website)

Note:Sometimes there may be a slight delay for your therapist to join your appointment if they are finishing with a previous client. Please be patient, and they will join as quickly as they can.


Tips for Your Telehealth Appointment

  • The Rock Counseling Group recommends joining the telehealth therapy appointment a few minutes early to test your settings.
  • If you can connect to the Internet, but are having trouble joining the video, you can use our recommended Pre-call Tool.
  • To use a smartphone or other mobile device to join a video chat, you must first download the GoToMeeting app available in the app store for iOS Download or Android Download

FAQs

What should I do if I didn’t get the reminder with the link?

Your link to your session will be sent to you via email or text based on your preference no later than 24 hours prior to your schedule session. If you do not receive your session link you are encouraged to email your counselor/therapist and request the link or contact our office at 217-722-9079 and your link will be sent to you via email or secure messaging.


What telehealth program does The Rock Counseling Group use?

All of our counselors and therapist use GoToMeeting. GoToMeeting is HIPAA Compliant and adheres to regulatory compliance for healthcare providers and healthcare organizations. GoToMeeting is quickly becoming a favorite tool for telehealth and online meetings. GoToMeeting is extremely flexible. It can be used from any browser as well as most mobile devices, and with or without a camera.


What can I do to do improve the quality of the connection?

If you live in an area with slow internet, this can really affect the speed of your connection. Here are some basic steps that can improve the overall quality:

  • Use wired Ethernet instead of Wi-Fi whenever possible. Wi-Fi will work, but you may experience a lag and interference, which can make your video and audio choppy. If you experience a lag or interference while using Wi-Fi, we recommend moving closer to your router. However, wired internet will give you a much smoother, more consistent experience.
  • Test your internet connection speed. Google provides an easy way to test your internet connection directly from the Google homepage. Simply search:internet speed test. Click the blue button that says Run Speed Test. If it is under 10mbps and you’re using Wi-Fi, try using a wired internet connection or restarting your router.
  • Close other programs. If you have several programs running in the background, closing them will almost certainly improve the quality. Also, make sure you’re not downloading any large files.

How should I prepare my space for a Telehealth appointment?

  • Identify a suitable room that is quiet, private, and free of distractions, and has adequate lighting.
  • To keep background noise to a minimum, make sure to close any doors, shut windows, and turn off the television, consider hanging a “Do Not Disturb” sign on the door to avoid interruptions.

Where’s the best place to do a video call?

When deciding the best place in your home, you will want to choose a space that is private and away from household members, coworkers, pets or any other potential distractions.

Here are some additional recommendations:

• Adjust your light. Some small lighting tweaks that can have a huge impact include placing a lamp or other light source behind your monitor, pointed toward you. Also, make sure you don’t have too much light behind you. If you’re on a laptop, make sure the camera is at eye level and not pointing up at the ceiling lights, or down at the floor.
• Choose a quiet, private location. Identify a suitable room that is quiet, private, and free of distractions. To keep background noise to a minimum, close any doors and shut any windows.

Is Telehealth private?

Just like a face-to-face appointment, your Telehealth visit will be private and confidential.


Will the appointments be recorded?

None of our appointments will ever be recorded or stored without specific written consent to do so that is signed and present in our office.
